Architecting a Complex Employee Self-Service Capability Across SuccessFactors and SAP Payroll

A large public-sector organisation in Asia Pacific required a complex employee self-service capability involving SAP SuccessFactors and SAP payroll technology. The challenge was that significant eligibility, calculation and processing logic needed to remain within the payroll system while employees initiated transactions through the HR environment. Nocko designed the solution architecture — balancing employee experience, business rules, payroll processing, security, authentication and integration across multiple SAP technologies.

Client Context

The organisation is a large public-sector body in Asia Pacific with both SAP SuccessFactors and SAP payroll technology in its HR landscape. The organisation needed to provide employees with self-service access to a capability that involved complex business rules and calculations — rules that needed to remain within the payroll system for processing accuracy and compliance, while the employee-facing experience was delivered through SuccessFactors.

The Challenge

A simple SuccessFactors configuration alone could not satisfy the requirement. The solution needed to balance employee experience, business rules, payroll processing, security, authentication, integration and long-term maintainability — across multiple SAP technologies and enterprise identity systems.

The core architectural challenge was defining how an employee-initiated transaction in SuccessFactors could trigger processing in the payroll system — with the right data flowing in the right direction, the right business rules applied in the right system, and the right security and authentication controls in place.

Getting this wrong would create either a poor employee experience, incorrect payroll processing, or an architecture that was difficult to support and maintain over time. The organisation needed a clear, agreed architecture before development could begin.

Nocko's Role

Nocko designed the solution architecture for the employee self-service capability — defining how SuccessFactors, SAP payroll, SAP Integration Suite, identity services and SSO would work together to deliver the required employee experience.

The architecture addressed where business logic would reside, how data would flow between systems, how authentication and security would be handled, and how the solution would be maintained over time. Nocko worked across the functional and technical boundaries of the requirement to produce an architecture that all stakeholders could understand and build from.

Approach

Requirements Analysis

Understanding the business rules, processing requirements and employee experience expectations before designing the architecture.

Architecture Design

Defining how SuccessFactors, payroll, integration and identity technologies would work together as a coherent solution.

Business Logic Placement

Determining which system would own which business rules and calculations, and why.

Integration Design

Designing the data flows and integration patterns between SuccessFactors and the payroll system.

Security and Authentication

Addressing identity, authentication and access requirements across the multi-system solution.

Supportability

Designing the architecture with long-term maintainability in mind — clear ownership, documented patterns and manageable complexity.

Outcome

Established an agreed architecture for a complex cross-system employee service
Aligned SuccessFactors, payroll, integration and authentication technologies within one solution
Provided clear ownership of business logic across the architecture
Created a technically supportable foundation for subsequent development

The architecture provided the organisation with a clear, agreed design that all stakeholders — functional, technical and business — could understand and build from. This reduced the risk of misaligned development decisions and created a more maintainable solution.
